The worst time to reconstruct a job is weeks later, when someone asks “what exactly was done?”. Documenting it as it happens reduces that dependence on memory.

Define a case with enough context

Give the case a recognizable title, associate the primary entity and record notes that explain the scope. The name should still make sense six months from now, not just today.

Record concrete activities

Instead of “worked on the project”, record what happened: site visit, preparation, delivery, revision, meeting or another relevant event. Simple dates and descriptions make the history searchable.

Attach documents to the right case

Keep photos and files with the case they belong to. That does not turn a document into certified evidence, but it helps preserve the context of when and why it was kept.

Export only when you need to

An export should be a consequence of the record, not the record itself. Keep the data organized first; then generate a summary or dossier when you need to share information.

Questions people ask

Do I have to record every minute?

No. The level of detail should be enough to reconstruct the work usefully. A system that is impossible to maintain eventually gets abandoned.

Is an Earnt export legal evidence?

Can I attach photos and files?

Yes. Attachments are associated with the case and stored locally in the current version.
