When a payment remains outstanding, the problem is rarely just the amount. It is being able to reconstruct what was done, when, for how much, and what has already been received.

Start with the agreement, not the collection

Record the work or service as a case and note the agreed amount, the primary entity and the start date. The goal is to have your own reference before questions arise.

Record work and payments separately

Hours or days worked and payments received are different facts. Keeping them separate makes it easier to see what was performed and what is still outstanding.

Keep documents and deadlines in the same context

At the end of each workday, take a minute to record the essentials: date, duration, description and any relevant payment or document. Consistency is worth more than a sophisticated system that is never updated.
